Communication process

What happens after you write

The process is deliberately simple and entirely written until both sides agree there is something worth discussing in more depth.

    You describe the situation

    Send an email covering what the system does or should do, what is not working, any deadlines, and any technical constraints you already know about.

  2. 02

    We read and ask questions

    We reply with clarifying questions. This step matters: it prevents a proposal built on assumptions.

  3. 03

    We outline an approach

    Once the picture is clear, we describe how we would approach the work, what we would examine first, and where the main uncertainties lie.

  4. 04

    Scope and terms are agreed

    Scope, sequencing, effort and commercial terms are put in writing for your review before any work is scheduled.

    Work begins with discovery

    The first phase is always understanding the existing system in detail, followed by incremental delivery with regular written updates.

Response times

Enquiries are usually answered within one to two business days, Monday to Friday. Messages that arrive at weekends or during public holidays are read on the next working day. Detailed questions about an existing system may take longer, because we prefer to read the relevant material before replying. This is a description of normal practice rather than a guaranteed service level; a formal response commitment can be agreed as part of a support arrangement.

Privacy reminder for email

Email is a convenient channel but not a confidential one. Please do not send passwords, access keys, production credentials, personal data about your customers or employees, or other sensitive material in an initial message. Describe the situation in general terms first; if the discussion requires sensitive information, we will agree a more suitable method of transferring it. Information you send by email is used only to respond to your enquiry and to assess the possible work.
